Text2Air Privacy Policy

Text2Air is an AI video infrastructure service for publishers, blogs and independent newsrooms. It helps publishers turn their own articles into editor-approved, AI-disclosed video segments and scheduled video programming, and then store and distribute those videos through the publisher's own connected accounts.

Text2Air is a product, not a news publisher. Each customer runs their own channel using their own content, brand, editorial decisions, connected storage and connected publishing accounts. This policy explains what information we collect, how we use it, where it is stored, and the choices you have. You can contact us any time at hello@text2air.com.

1. Information we collect

We may collect and process the following information.

Account and contact information

Name, email address, organisation name, role, support communications and account settings.

Publisher configuration information

Brand settings, house-style rules, channel settings, CMS connection settings, scheduling settings, presenter settings and destination settings.

Publisher content

Articles, headlines, article text, images, metadata, tags, publication dates and source URLs imported from a publisher's own CMS, feed or approved source.

Generated and edited content

Draft scripts, edited scripts, approval decisions, video segments, short-form renditions, captions, metadata, thumbnails, scheduling data and related audit records.

Presenter consent information

Presenter name, consent status, consent proof reference, avatar or voice reference, approved use scope, grant and withdrawal records, and related audit events.

Connected account credentials

When a publisher connects a publishing, streaming or storage account, we receive and store authorisation tokens that let Text2Air perform only the actions the publisher enables. This includes YouTube and TikTok for publishing and short-form, other social accounts such as Facebook for distribution and restreaming, and a cloud storage account such as Google Drive for storing generated videos. Tokens are stored as secured references, and we also store the responses returned when we publish or store, such as the video, post and file identifiers of the content we create. We do not receive the publisher's platform passwords.

Usage and operational information

System logs, upload status, rendering status, quota status, playback events, error logs, performance data and security events.

Anonymous viewer analytics

When a video plays in the embeddable Text2Air player, we collect anonymous playback events, such as which segment started and ended, using a temporary session token. These events contain no name, no account identifier, no IP address and no device fingerprint, and we do not set advertising or tracking cookies. They are used only to give publishers aggregate audience figures for their own channel.

Website enquiry information

Information submitted through demo, waitlist or contact forms, including name, email, publication name, website URL and message content.

2. How we use information

We use information to:

provide and operate the Text2Air service;

import publisher-owned content from authorised sources;

draft broadcast scripts for editorial review;

render approved video segments and short-form renditions;

apply AI disclosure labels and platform synthetic-content settings;

store generated videos in the publisher's own connected cloud storage;

upload, distribute and restream approved segments to the publisher's connected accounts;

schedule and serve programs through an embeddable player;

provide support, billing, monitoring and security;

maintain an audit trail of editorial, rendering, disclosure and publishing actions;

improve reliability, safety and product performance.

Text2Air is designed around own-content-only operation, human editorial approval, verified presenter consent and AI disclosure. The service is not designed to scrape third-party content, impersonate people, bypass editorial responsibility or publish undisclosed AI content.

3. Google and YouTube data

If you connect a YouTube channel, Text2Air requests access only for the purposes described in this section.

Text2Air uses Google user data only to:

connect the publisher's YouTube channel;
upload approved, AI-disclosed video segments and short-form renditions;
store the returned YouTube video ID and upload status;
resume or retry uploads where necessary;
read aggregate channel statistics for the connected channel, such as subscriber counts and total view counts;
retrieve aggregated analytics reports for the connected channel, such as views, watch time, average view duration and, where YouTube makes them available, audience aggregates by geography, age band and gender category;
support the publisher's configured video program and report its performance to the publisher.

Analytics information received from Google APIs is stored only as aggregate snapshots and is displayed only to the publisher that owns the connected channel. Text2Air does not receive or store information that identifies individual viewers. Where YouTube withholds audience aggregates because the audience is too small, Text2Air preserves that suppression and does not attempt to infer the missing values.

Text2Air does not modify, download or delete any existing videos or other content on a connected YouTube channel. Its write access is limited to uploading new videos that the publisher has approved, and its read access is limited to the aggregate channel statistics and aggregated analytics reports described above. Text2Air does not sell Google user data and does not use it for advertising profiling.

Text2Air's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Your use of YouTube through the Service is also subject to the YouTube Terms of Service and the Google Privacy Policy. You can revoke Text2Air's Google access at any time through your Google Account permissions, or by disconnecting the channel inside Text2Air, which deletes the stored tokens.

4. Connected cloud storage

Where a publisher connects a cloud storage account, such as Google Drive, to store their generated videos, Text2Air uses a least-privilege permission limited to the files it creates. This lets Text2Air write finished video files to the publisher's own storage so the publisher retains custody of their video library. Text2Air does not access, read or manage other files in that account. The publisher can disconnect storage at any time, which deletes the stored tokens; files already written remain in the publisher's own account under their control.

5. TikTok, Facebook and other distribution accounts

Where a publisher connects TikTok, Facebook or another social account for distribution, short-form posting or restreaming, Text2Air uses the connection only to publish or stream approved content on the publisher's behalf. As with YouTube, we only publish approved content and do not read or alter existing content on those accounts. Each connected account can be revoked in that platform's settings or by disconnecting inside Text2Air. Use of those platforms is also subject to their own terms and privacy policies.

6. Restreaming and live distribution

Text2Air can distribute a publisher's approved program to their connected accounts, including by restreaming or live streaming to multiple destinations. The information involved is limited to the approved video content, its metadata, and the authorisation needed to deliver it to the destinations the publisher has connected and enabled.

7. AI disclosure

Segments produced by the Service are presented by AI. Every segment carries an on-screen synthetic-content disclosure, and we set each platform's synthetic or AI-generated content flag on publication, including on short-form renditions. This disclosure is applied to every output and cannot be turned off.

8. AI and service providers

Text2Air uses third-party service providers to provide scripting, voice synthesis, avatar and video rendering, storage, hosting, streaming, monitoring, email, analytics, billing and distribution. Publisher content may be sent to these providers only as needed to provide the service, such as drafting scripts, generating voice audio, rendering presenter video, compositing segments, storing files or delivering approved videos.

The categories of processor and sub-processor that information may pass through, and the country where each currently processes it, are:

The named sub-processors behind these categories are available on request at hello@text2air.com, and we update the list as providers change.

The specific providers we use may change as the product evolves, providers may be added or replaced without individual notice, and each provider handles data under its own terms, which we do not control and which the provider may change. On the standard plans we currently use, some providers' terms permit them to use content submitted to them, including to improve or train their own AI models. Where a provider offers a control to limit this, such as a training opt-out or a deletion request, we use it, and we prefer providers and plans that do not train on submitted content.

This matters most for presenter voice and likeness. On our current provider plans, a voice or avatar provider's terms may permit it to use the voice and likeness we submit in order to improve that provider's own AI models. We inform presenters of this through the consent process, we use any available opt-out to limit it, and we retain the ability to move to a provider or plan that does not train on submitted data. A presenter can withdraw consent at any time, which retires their pathway and related segments from future use, although it cannot reverse processing a provider has already carried out.

9. Editorial control and audit trail

Publisher editors remain responsible for editorial approval. Text2Air records key actions such as draft generation, script edits, approvals, rejections, render actions, disclosure application, upload actions and scheduling events. The audit trail supports platform compliance, AI disclosure, consent records, editorial accountability and operational troubleshooting.

10. Where your data is stored, and overseas processing

Text2Air's operational data, including its databases and object storage, is currently hosted on cloud infrastructure located in Malaysia, and encrypted off-site backups are stored in the United States. Generated video segments are held in Text2Air's operational storage and uploaded to the publisher's own connected video accounts for distribution, so the publisher retains custody of the published library on their own channel. Where a publisher connects their own cloud storage, finished files can additionally be written there under the publisher's control.

Some of our service providers and infrastructure, including hosting, backup, and certain AI and media-processing providers, are located outside Australia, including in Malaysia and the United States. Where your information is processed overseas, we take reasonable steps to ensure it is handled consistently with this policy and the Australian Privacy Principles.

Text2Air uses reasonable technical and organisational safeguards, including tenant isolation, secured references for sensitive credentials, access controls, logging, monitoring and rate limiting. No online service can guarantee absolute security.

11. Data sharing

We may share information with:

service providers who help operate Text2Air;

connected platforms such as YouTube, TikTok and Facebook, and connected storage such as Google Drive, when the publisher authorises upload, distribution or storage;

professional advisers, insurers or auditors;

regulators, courts or law enforcement where required by law;

a successor entity if Text2Air is involved in a business sale, merger or restructuring.

We do not sell publisher content or Google user data.

12. Retention

We retain information for as long as needed to provide the service, meet legal obligations, maintain audit records, resolve disputes, enforce agreements and support platform compliance. When a publisher disconnects an account, the stored authorisation tokens for that account are deleted. Some audit and compliance records may be retained after account closure where necessary for legal, security, consent, disclosure or platform-policy reasons.

13. Website cookies and analytics

Our marketing website may use essential cookies and privacy-respecting analytics to understand general site usage and to operate enquiry forms. These are separate from the anonymous player analytics described above. Where required, we will seek consent for non-essential cookies.

14. Your rights

Depending on your location, you may have rights to access, correct, delete or restrict certain personal information. To make a request, contact us at hello@text2air.com. Under the Australian Privacy Principles you also have the right to complain about how we handle your information, and if we cannot resolve it you may contact the Office of the Australian Information Commissioner.

15. Data breaches

We maintain safeguards to protect personal information, and in the event of an eligible data breach we will act in accordance with the Notifiable Data Breaches scheme under the Australian Privacy Act 1988, including notifying affected individuals and the regulator where required.

16. Children

The Service is used by publishers and businesses and is not directed at children, and we do not knowingly collect personal information from children through the Service.

17. Changes to this policy

We may update this policy from time to time. We will post the updated version at this address and change the date above. Material changes will be communicated to account holders.
